GENERAL DESCRIPTION:

This position is hired to work within the Office of the Governor (OOG), serving as the Deputy Mansion Administrator and reporting to the Mansion Administrator in the Governor’s Mansion.  Provides support in the planning, development, and implementation of Governor’s Mansion programs.  Work is performed under limited supervision with considerable latitude for use of initiative and independent judgment.  Due to the active Mansion event calendar, duty hours must be flexible and some evening and weekend work may be required. 

ESSENTIAL DUTIES

  • Serves as Deputy Mansion Administrator, providing support in the planning, development, and implementation of Governor's Mansion programs.
  • Assumes the responsibilities of the Mansion Administrator in his/her absence.
  • Assists in the preparation of Mansion policies and procedures.
  • Assists with special event planning and coordination. Prepares special event mailings and invitations.
  • Coordinates administrative functions, to include purchasing, phone coverage, equipment maintenance and tour requests.
  • Maintains and distributes weekly Mansion and events schedules and updates.
  • Coordinates with the Governor and First Lady's scheduling offices.
  • Schedules routine maintenance and/or repairs to house and grounds.
  • Schedules all tours; sends written confirmations.
  • Liaison to the Capitol Visitors Center regarding daily tour scheduling. May conduct or assist with Mansion tours.
  • Assists with requests for Mansion donations, coordinates requests with First Lady's Office, and maintains all donation correspondence.
  • Handles incoming mail and responds to general public inquiries regarding the Mansion's activities, history, tours and renovations.
  • Coordinates events and schedules with Docent Executive Committee and Education and Scheduling Chairman.
  • Assists with coordination of security arrangements for public functions at the Governor's Mansion.
  • Prepares and distributes monthly tour and function schedules for Mansion Docents.
  • Assists in special historical/educational projects.
  • Performs all other duties as assigned.

MINIMUM QUALIFICATIONS:

Graduation from an accredited four-year college or university with a degree in business administration, public relations, government, public administration, education or related field plus three (3) years experience in office practices, administrative support, or technical program area. Experience and education may be substituted for one another on a year-for-year basis.  A job assignment in the Governor's Mansion requires loyalty, confidentiality, and discretion.  Must be able to work flexible hours in conjunction with the schedule of the Mansion and First Family.
