GENERAL DESCRIPTION:

This Data Entry Operator I reports to the Director of Constituent Communication. Uses automated information tracking systems and electronic imaging systems to timely log and archive correspondence and phone calls. Receives and directs phone calls for handling within the division. Establishes and maintains well-organized and accessible filing systems. 

ESSENTIAL DUTIES

  • Performs accurate data entry of phone calls and constituent correspondence using automated tracking systems.
  • Promptly answers division phone calls; routes and annotates messages; and evaluates and answers routine questions from staff and constituents.
  • Provides professional telephone, clerical, office and reception support as assigned.
  • Reviews and corrects correspondence logs as required.
  • Provides general clerical and office support to other team members as assigned.
  • Maintains files in accordance with established Office of the Governor guidelines.
  • Adheres to the division's records retention program, practice and procedure.
  • Archives agency correspondence using electronic imaging systems.
  • Performs all other duties as assigned.

MINIMUM QUALIFICATIONS:

Must be a high school graduate or equivalent, plus have one (1) year experience answering phone calls or performing data entry, clerical and office support duties.  Additional college level education may be substituted for experience on a year-for-year basis. Must have a pleasant demeanor for greeting and interacting with constituents. Must be proficient in the use of automated information tracking systems and have knowledge of data entry equipment and general office practices and procedures. Must have an eye for detail. Must be able to detect and correct clerical and data entry errors. Must be able to perform routine and repetitive tasks, including data entry. Must have a positive, customer service attitude.
